The customer support dashboard
your VA answers calls in.
One screen for every guest message, every task and every phone call across your short-term rental portfolio. The AI handles most of what arrives. Mission Control ranks the rest, and your virtual assistant takes the voice calls in the same browser tab — with the guest's booking already on screen.
Built by a team that runs short-term rentals, for the hours when a guest is locked out at midnight and someone has to actually pick up.
A queue that argues for its own order
Every item carries a score, and the score decides where it sits. A guest locked out at midnight outranks a cleaning task due Thursday, and neither has to be found by scrolling.
| Score | Band | What it means |
|---|---|---|
| 230+ | Emergency | Personal safety, a lockout happening now, fire or flood. |
| 180+ | Critical | Someone is stuck, or the business loses something today. |
| 120+ | High | Owed to a person today or very soon. The usual band. |
| 60+ | Normal | Action in the coming days. Below 60, no clock at all. |
What puts something in it
A guest is waiting
Someone asked a question nobody has answered.
A task is overdue
Or close enough to due that it needs a decision now.
The AI escalated a task
It hit something it should not settle alone.
A draft needs approval
Work the AI prepared and will not send unreviewed.
A task has no owner
Scheduled, but nobody is going to do it.
A task has gone quiet
Pending long enough that it has probably stalled.
A missed call
The phone rang, nobody reached it, and it becomes somebody's.
Someone flagged it
A colleague put it there by hand.
Almost everything in the queue is put there by the AI rather than by a person noticing. That is the point: the work of spotting what is going wrong is the work being removed, not the work being displayed more attractively.
Your own numbers, answered in the tab you already have open
Buy a number in the countries you operate in, on Twilio or Telnyx — the choice is a column in a table, not a decision you have to make. Calls ring in the browser, and everything about them ends up where the rest of the guest's conversation already is.
Answer in the browser
A softphone in the tab that is already open. No desk phone, no app to install, and the call arrives with the caller's name, their thread and their current booking already on screen.
Hold, keypad, transfer
Put a guest on hold with your own music. Key digits into a supplier's own menu. Hand the call to a colleague or any number — speak to them first, then step out.
Listen in, whisper, or join
A colleague can join a live call silently, speak only to the person handling it, or join the conversation outright. Training someone stops meaning sitting next to them.
Menus and a queue
Answer with your own greeting and let callers say what they need before anyone's phone rings. When everyone is busy, callers wait with music instead of being sent to voicemail.
And then the call is over
It lands in the guest's own thread
Not a call log beside the inbox — the same conversation as their WhatsApp, their email and their texts, in order. There is nothing to sync, because it is already the same thread.
Recorded and transcribed
In the language actually spoken, with a re-run if the model guesses wrong. In conference mode the transcript builds while the call is still running.
Summarised in three lines
Who called, what they wanted, what was promised. Written into the thread so the next person does not have to listen to twelve minutes of audio.
Written up and counted
File a call under reasons you define yourself, note what was said, and give the follow-up an owner. Which is what makes the reporting worth reading.
A voice-call VA agent needs somewhere to work
Most short-term rental operators who hire a virtual assistant hand them a phone, a PMS login and a WhatsApp account, and hope. The gap is never the person — it is that nothing they need is in one place while a guest is talking.
They answer in the browser
No desk phone, no forwarding chain to a personal mobile. Your VA turns on “Take calls here” and your own number rings in the tab they already have open — anywhere in the world.
They see the booking as it rings
Who is calling, which property, which dates, and the whole thread of what has already been said to them. A VA who has to ask “which booking is this?” has already lost the call.
You can hear how it went
Listen in on a live call, whisper advice only your VA can hear, or join the conversation. Every call is recorded, transcribed in the language spoken and summarised into the guest's thread.
To be clear about what the AI does on a call
A person picks up — your VA, or you. The AI is not a synthetic voice on the line with your guest. What it does is handle the written channels before the call is ever needed, and then transcribe and summarise the call afterwards so the next person does not have to listen to twelve minutes of audio. Plenty of tools sell an AI voice agent; we would rather your guest reached a human and the software did the paperwork.
Why a support dashboard beats a phone system
A missed call here is not a line in a log. It is an item in the queue, with an owner and a clock, sitting alongside the overdue clean and the guest waiting on an answer.
This is the part that is hard to retrofit. A phone system that logs missed calls into a list nobody opens has told you nothing you did not already fear. Because the phone and the queue are one product, a call nobody reached becomes the same kind of object as everything else that needs a person — and it is ranked against them honestly.
What it does not do
Better read here than discovered later.
No AI answers your phone
A person picks up. The AI transcribes and summarises afterwards, and it handles the written channels — but nothing here puts a synthetic voice on a call with your guest.
You cannot bring your old number yet
Numbers are bought through us. Porting an existing one is not supported today, so a number printed on a lockbox stays where it is.
Not an emergency line
No emergency-services address is registered against these numbers. They are for guests and colleagues, not for calling 112 or 911.
Some countries are restricted
What a number can do differs by country: Norway and Switzerland need a local address and business registration, and some markets sell voice-only numbers. We will tell you before you buy.
