AI Inbox

Every guest channel, answered in one thread.

Airbnb, Booking.com, Vrbo, your PMS inbox, WhatsApp, email, SMS and phone calls. The AI answers in the guest’s language, from your own property facts, and checks every reply before it is sent. Your team sees only what needs a person.

One thread per guest, from wherever they wrote

The reservation, the property and the whole history, next to every message.

Pick a conversation. Each one shows something the inbox does on an ordinary day: a German guest answered in German, a refund held for a person, a call summarised into the thread, a reply checked before it went out.

First-party. Measured on Heimby, the rental operation Proptonomy grew out of, September 2026. How we measure it.

Replies you can let it send

Grounded in your facts. Checked before it leaves.

An inbox that answers fast is easy. One that answers right, in the guest’s own language, at three in the morning, without promising what nobody agreed to, is the product.

Answers from your property, with the source

Check-in steps, parking, Wi-Fi, house rules and your procedures. Every draft shows what it used, so a wrong answer is traced to a wrong fact and fixed once.

A second review before sending

Each outgoing reply is checked for promises the team has not confirmed, invented contact details and claims that a job is done when it is not. If it finds one, the reply waits for a person.

Access details only for verified guests

Door codes, Wi-Fi and key locations go to confirmed bookings only, and wait for your verification step, such as an Enso Connect boarding pass, when you use one.

In the guest’s language, translated for yours

The guest gets an answer in the language they wrote in. Your team reads every thread in theirs, and group chats translate for each member.

Take over any conversation

Type in the thread and the AI pauses for that guest, visibly, until you hand it back. Nothing is sent twice.

Replies go back the way they came

Through the PMS thread for Guesty, Hostaway, Uplisting, Lodgify and KrossBooking, or on WhatsApp, email and SMS, so the guest never has to switch channel.

You decide what it may send, inbox by inbox.

Every inbox starts in observe mode. Move it to drafts, then to auto-reply when you trust it. Refunds, access exceptions and complaints can stay with a person for as long as you like. Try a message below.

Where do I park?

Answered in 40 s

Covered by Harbour Loft's parking notes, checked before sending and sent on WhatsApp. Nobody was paged.

Hi! Park in spot 4 in the courtyard behind Harbour Loft, entrance from Strandkaien. It is free for guests for the whole stay.

AI voice and the phone desk

When they call, it is the same conversation.

Your own numbers, in the countries you operate in. The Proptonomy voice agent picks up routine calls, and your team answers the rest in the browser with the caller’s booking already on screen. Every call lands in the guest’s thread, transcribed and summarised.

  • The voice agent answers check-in, parking and Wi-Fi questions at any hour
  • Recorded if you choose, transcribed in the language spoken, summarised in three lines
  • A missed call becomes an item in Mission Control with an owner and a clock
  • Hold, transfer and keypad menus in the browser, from anywhere

Guest portal and upsells

The door code arrives when the guest is verified, not when they ask.

Each stay gets its own guest portal: check-in steps, the house guide and directions to the key, released as the arrival approaches. Early check-in and late checkout are offered when the calendar and the cleaner allow it, and confirmed with both before they are sold.

  • Access details released only to confirmed, verified guests
  • Upsells checked against the calendar and the turnover before they are offered
  • Every portal question answered in the same thread as the rest of the stay

Also in the inbox

The rest of the guest’s stay, in the same place.

Everything else a guest-facing team does in a day, without leaving the thread.

Automatic messages

Welcome, check-in reminders and checkout notes on rules you set, written for each stay and previewed before they go.

Ask, summarise, draft

Ask any thread a question, get a three-line summary of a long one, or have a reply drafted in your voice.

Review replies

Every review from every channel in one list, with a reply drafted from the stay itself, ready for one tap.

From message to task

A broken heater becomes a task, a briefed plumber and an update to the guest, without anyone copying anything.

Questions about the AI Inbox

Airbnb, Booking.com and Vrbo, the inbox of your PMS (Guesty, Hostaway, Uplisting, Lodgify, KrossBooking and others), WhatsApp, Telegram, LINE, email including shared mailboxes, SMS and phone calls. Each guest gets one thread, whichever channel they used, and the reply goes back the way they reached you.

Only where you have switched auto-reply on. Every inbox starts in observe mode, where the AI drafts privately and sends nothing. You move an inbox to drafts or to auto-reply when you are ready, and categories such as refunds, access exceptions and complaints can stay behind a person’s approval for good.

Answers come from your property knowledge, the reservation and your procedures, and each draft cites what it used. Before a reply is sent, a second AI review checks it for promises the team has not confirmed, invented contact details or claims that something is done when it is not, and holds it for a person if it finds one.

No. Door codes, Wi-Fi and key locations go only to a confirmed booking, and where you use a verification step such as Enso Connect’s boarding pass, the AI checks it before sharing anything and tells the guest what is still missing.

Yes. It replies in the language the guest writes in, and your team can read every thread translated into theirs. Group chats with cleaners or owners can be translated for each member as well.

The Proptonomy voice agent can answer routine calls, and your team takes the rest in the browser with the booking already on screen. Every call is recorded if you choose, transcribed and summarised into the same thread as the guest’s messages. A missed call becomes an item in Mission Control with an owner and a clock.

At any moment. Write in the thread and the AI pauses for that guest, visibly, until you hand it back.
